JOB SUMMARY: To ensure quality care to the Tepeyac Community Health Center patient population, the Medical Assistant Supervisor provides direct supervision and day-to-day operational oversight of Medical Assistants assigned to a clinical pod. This role supports efficient clinical flow, staff performance, and consistent execution of clinical workflows as communicated by the Practice Manager and in alignment with organizational policies, procedures, and regulatory requirements. The Medical Assistant Supervisor serves as the first-line leader and primary point of contact for Medical Assistants, providers, and clinical staff regarding daily workflow coordination, troubleshooting, and staff support. This position provides real-time coaching, training, and performance feedback to Medical Assistants, assists with scheduling needs including vacation requests and sick calls to ensure appropriate clinic coverage, and escalates concerns as needed. The Medical Assistant Supervisor partners closely with the Practice Manager by clearly communicating expectations, monitoring adherence to workflows, processes, and required logs, and reinforcing clinic standards across the assigned pod.

The hourly rate for the MEDICAL ASSISTANT SUPERVISOR is $30.00.

EDUCATION AND EXPERIENCE:

Minimum Education:
  • High School diploma or GED required.
  • Graduation from an accredited Medical Assistant program required.
  • Current Medical Assistant certification required.
Minimum Experience:
  • Minimum of four (4) years of experience working as a Medical Assistant in a community/public healthcare setting.
  • Experience working in a multi-provider or integrated care clinic setting preferred.
  • Prior experience serving in a leadership, preceptor, or supervisory role strongly preferred.
  • Experience working with an electronic medical record (EMR/EHR) system required. eClinicalWorks preferred.
  • Must be a current Tepeyac Community Health Center employee.
Language Requirements:
  • Oral and written fluency in English required.
  • Oral fluency in Spanish required.
ESSENTIAL DUTIES & RESPONSIBILITIES:

Direct Supervision & People Management
  • Increase employee motivation, retention, and engagement by providing ongoing coaching, guidance, and support to Medical Assistants within the assigned pod.
  • Provide direct day-to-day supervision of Medical Assistants, including monitoring performance, professionalism, attendance, and adherence to clinical standards.
  • Provide real-time feedback, corrective coaching, and recognition of strong performance to support staff development and accountability.
  • Address performance, punctuality, and conduct concerns in a timely and professional manner and communicate patterns or concerns to the Practice Manager.
  • Lead check-ins and participate in annual performance evaluations by providing written and verbal feedback to support staff growth and development.
  • Promote teamwork, accountability, and a positive work environment within the pod.
Pod Operations & Patient Flow
  • Direct and monitor daily patient flow within the assigned pod to ensure efficient processing of patients and smooth clinic operations.
  • Write and oversee daily MA assignments including room coverage, task distribution, and coordination of breaks to ensure appropriate clinic coverage.
  • Monitor real-time clinical flow and redistribute MA support as needed to reduce bottlenecks and delays.
  • Ensure all patient encounters, orders, vaccines, laboratory tests, and procedures are completed accurately and timely prior to room turnover.
  • Schedule utilization manage patient flow so schedule is maximized.
  • Serve as the first-level troubleshooter for workflow disruptions, staffing gaps resulting from same-day call-offs, and urgent patient care needs.
Clinical Quality, Compliance & Safety
  • Ensure Medical Assistants adhere to standing orders, clinical workflows, documentation standards, and infection control practices.
  • Monitor completion and accuracy of required logs and documentation (including CLIA, temperature logs, autoclave logs, and other regulatory requirements) within the assigned pod.
  • Support patient and staff safety by completing incident reports and escalating concerns as appropriate.
  • Reinforce compliance with HIPAA, OSHA, VFC, and Tepeyac policies and procedures.
  • Participate in quality improvement initiatives related to patient flow, patient satisfaction, and clinical operations as directed.
  • Conduct clinical quality assurance and task completion audits of MA Team. Address performance trends, and in partnership with Practice Manager, identify and implement process improvement opportunities.
Training, Onboarding & Competency
  • Lead onboarding and orientation for new Medical Assistants and students assigned to the pod.
  • Conduct competency checklists, skills validation, and ongoing coaching for new and existing staff.
  • Identify training gaps and provide in-the-moment education, reinforcement of workflows, or escalation to the Practice Manager as needed.
  • Support cross-training efforts across service lines including OB, refugee care, and specialty care to ensure operational flexibility.
Communication & Leadership
  • Serve as the primary point of contact for Medical Assistants regarding workflow questions, daily operations, and clinical support needs within the pod.
  • Communicate workflow updates, process changes, and expectations clearly and consistently to staff.
  • Partner with providers to ensure Medical Assistant support aligns with patient care needs and clinic standards.
  • Promote Tepeyac's culture of teamwork, respect, accountability, and service excellence in daily interactions.
Supplies & Clinic Readiness
  • Ensure exam rooms, laboratory stations, and procedure areas within the pod are stocked, clean, and ready for patient care each day.
  • Complete routine pod-level supply checks and communicate supply needs or concerns to Clinic Operations Tech.
  • Support proper handling, storage, and documentation of vaccines and medical supplies in coordination with Clinic Operations Tech and established Clinic Protocols.
OTHER DUTIES AND RESPONSIBILITIES:
  • Attend required internal meetings, trainings, and leadership development sessions.
  • Provide support during periods of high clinic volume or staffing shortages as needed.
  • Perform other duties as assigned.
